The Embassy of the Republic of Zambia in Italy is committed to protecting the privacy of everyone who contacts the Mission or uses this website. This notice explains what personal data we collect, why we collect it, how we use and safeguard it, and the rights available to you.

Who is responsible for your data

The Embassy of the Republic of Zambia in Rome is responsible for personal data processed in connection with its diplomatic, consular and administrative functions and this website. As a diplomatic Mission of the Government of the Republic of Zambia, the Embassy processes data in accordance with Zambian law and, where applicable, the data protection standards of the host country.

Personal data we collect

We only collect the personal data we need to respond to you and to deliver the service you have requested. Depending on the nature of your contact with the Mission, this may include: your name, contact details (such as postal address, email address and telephone number), nationality and passport or travel-document details, the content of your enquiry or application, and any supporting documents you choose to provide.

Where you book an appointment or request a consular or visa-related service, we may also process information necessary to verify your identity and eligibility and to carry out the service. You should provide only the information that is requested and relevant to your enquiry.

Why we process your data

We process personal data to respond to enquiries and correspondence; to provide consular assistance and protection to Zambian nationals; to receive and process passport, travel-document, visa, immigration, legalisation and other consular applications; to schedule and manage appointments; to fulfil the Mission's official functions; and to comply with legal obligations.

We process personal data only for the purpose for which it was provided. We do not use your data for unrelated purposes, and we do not sell personal data under any circumstances.

How we share data

Personal data is treated as confidential and is accessed only by authorised Embassy staff who need it to perform their duties. We do not disclose personal data to third parties except where it is necessary to deliver the service you have requested, where you have given your consent, or where disclosure is required by law or by a competent authority.

In the course of consular and immigration matters, relevant information may be shared with the appropriate ministries, departments and authorities of the Government of the Republic of Zambia — including, where applicable, the Department of Immigration and the Ministry of Foreign Affairs and International Cooperation.

How long we keep your data

We retain personal data only for as long as is necessary to fulfil the purpose for which it was collected, to provide the requested service, and to meet legal, administrative or record-keeping requirements. When personal data is no longer required, it is securely deleted or destroyed.

How we protect your data

We apply appropriate organisational and technical measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction. Access to personal data is restricted to authorised personnel, and information transmitted to the Mission is handled with appropriate confidentiality.

Please note that no method of transmission over the internet is completely secure. While we take reasonable steps to safeguard your information, we cannot guarantee the security of data sent to us electronically, and any transmission is at your own risk.

Your rights

Subject to applicable law, you may request access to the personal data we hold about you, ask us to correct inaccurate or incomplete information, request the deletion of data that is no longer required, or object to or request the restriction of certain processing.
